What Are Wallets?
Wallets act as your digital currency holders in Borderless360, facilitating payments in specific currencies tied to your warehouse locations globally. Each wallet corresponds to a currency, such as USD, GBP, or AUD, ensuring smooth payment processing for shipping and fulfillment services.

You have the ability to add multiple payment methods for different currencies. This enables you to select multiple currencies per payment method.
We also have a partnership with AirWallex. By signing up to Airwallex's global digital wallet, you can collect, hold and send money in multiple currencies and save on everyday business expenses, with zero international fees. Tip: Use separate payment methods for different currencies to organize funds and streamline notifications for regional teams.
Why should I set up multiple instances of the same payment method for different currencies?
Suppose you operate in multiple countries and prefer bank transfers for transactions. Your UK team needs to receive notifications for all invoices paid in GBP, and your US team needs notifications for all invoices paid in USD, each at their respective email addresses.
To meet this need, you can set up two Bank Transfer Payment Methods. For the first, select GBP as the currency and input the UK team’s email. For the second, select USD and enter the US team’s email.
This allows you to manage GBP and USD funds separately. It also ensures each team receives the appropriate notifications, while maintaining their preferred payment method.
Adding a Payment Method
Here’s how to add a payment method:
- Navigate to Billing from the sidebar.
- Under Payment Methods, click Add New Payment Method.
- Choose your method (Credit Card, Airwallex, or Bank Transfer).
- Input the required details:
- email address to receive invoices
- billing address including country and zip code (these will be included on your invoice)

- You'll then need to agree to our Terms of Service and Privacy Policy and click Save.
Invoice Currencies
When adding a new payment method, you can select multiple currencies for each payment method, or none at all.

Email notifications for Invoices
When setting up a new payment method, you will find a checkbox at the bottom of the page to enable email notifications.
This email address will receive all invoices for the currencies specified when setting up the payment method.
Emails concerning the deactivation or activation of fulfilment, a nearing zero balance, or outstanding payment sales invoices are distributed to all clients users with an admin role, irrespective of the email specified in the payment method.
Auto Top-Up (Credit Card and Airwallex Only)
Automate wallet top-ups by setting thresholds and recharge amounts to avoid disruptions.
For example:
- Set a recharge amount of $1,000 with a threshold of $500.
- When the wallet balance drops below $500, the system automatically tops it up to $1,000.
Tip: Automating top-ups ensures that your ecommerce operations run without delays, especially during peak seasons.
Top-Up via Bank Transfer
For manual payments via bank transfer, use the Borderless360 Global Account details provided in the app. Always include your name in the reference field for faster processing.
When making a Bank Transfer, always provide your name in the Reference or Description fields.
If you're ever asked to make a payment to a different bank account, or in the event that you made a transfer to a different account, please contact us immediately.

Deposit Request Document: When topping up via bank transfer, our system will generate a Deposit Request Document, which can be used for accounting purposes.
This document is also accessible from the attachments column on the Running Balance page.

When you initiate a bank transfer, the system automatically generates a Wallet Payment as a Credit Note with the status "Pending Approval".

You will also receive the following notification:
Your payment has been accepted. Note, this may take a few days to process.
Once the funds have cleared and the transfer has been manually approved by the Borderless360 Accounting team the Credit Note status will update to "Paid" and the funds will be visible in your wallet.

If the transfer has been cancelled or fails, the Credit Note is marked as “Void”, and the system changes the payment status to “Failed.”
